Fund Settlement Guide

Learn our fund settlement process.

Scope

This Guide introduces the fund settlement process of EVONET Global Merchant Services (“EGMS”), including the details regarding the settlement currency, settlement file, settlement method, exception situation, and contact method.

Supported Settlement Currencies

For payment collections in different countries and regions, EGMS provides merchants with varying payout capabilities. Please refer to the table below:

Settlement Files

EGMS provides reconciliation files for merchants to reconcile daily transactions. More reports are in development, and customized reports can also be developed based on demand.

This is an outline of EGMS settlement files, while the merchant is in the integration process, the EGMS delivery team will guide the merchant on how to integrate the settlement files.

Reconciliation Files

Reconciliation files can be obtained via sFTP or through the merchant portal. Merchants are advised to retrieve and process the files after 12:00 PM (UTC+8) daily. As reports might be generated earlier, if merchants wish to obtain them earlier, they can try after 11:00 AM (UTC+8). Furthermore, to prevent special circumstances such as files not being generated on time, it is recommended that merchants set up a function that allows for manual retrieval of reports.

  1. Settlement Details Report

This report is generated on the next calendar day following the transaction day and specifies all successful transactions of the transaction day based on the local time zone of the transaction.

  1. Miscellaneous Details Report

This report contains all manually created or special types of transactions, such as chargebacks, manual deductions, extra settlements, extra charges, etc., all of which are transaction types not actively initiated by the merchant.

Settlement Method

EGMS will make bank transfer to the merchants’ designated bank accounts. The net settlement amount will be deducted from all the fees and charges.

Requirement

The bank account provided by the merchant to EGMS must satisfy the following two conditions: (1) With the bank's permission, the account can be used to receive settlement funds provided by EGMS; (2) The name on the bank account must correspond with the name of the merchant in the agreement signed with EGMS.

Settlement Periods

The settlement period is determined by EGMS based on the merchant’s estimated business volume, operating payment methods, and internal risk assessment results.

Exception Situation

When the merchant encounters an exception situation during the reconciliation process, the following are the recommended solutions for different exception situations:

Reconciliation Result: Lack

Description: A shortfall comes out after the merchant completes a daily reconciliation, meaning that there is one or more successful transactions acknowledged by the merchant but not by EGMS.

Solution: This problem may be due to the cut-off time discrepancy among the merchant, EGMS, and upper-stream PSPs. The merchant may wait for the reconciliation files in the next reconciliation cycle and check if the missing transaction has been included in the new files. If the missing transaction still cannot be found in the files of the next reconciliation cycle, the merchant may need to contact the EGMS operation team. If the transaction has been finally acknowledged by both the merchant and EGMS, the transaction will be recorded in the Miscellaneous Details Report in the next reconciliation cycle and a supplement payment will be paid to the merchant in the next payout.

Reconciliation Result: Extra

Description: A surplus comes out after the merchant completes a daily reconciliation, meaning that there are one or more successful transactions acknowledged by EGMS but not by the merchant.

Solution: This problem may be due to the network connection error between the merchant and EGMS, resulting in the buyer having paid but not receiving the goods. In this case, EGMS will make the refund to the customer at once by default. If the transaction has been refunded, the refund will be recorded in the Settlement Details Report in the next reconciliation cycle and a supplement deduction will be charged to the merchant in the next payout. However, if the transaction cannot be refunded due to the payment brands not supporting the refund function, the merchant may be required to contact the customer to make a shipment.

Delayed File Generation

Description: The files failed to be generated by the agreed time.

Solution: If file generation fails before the agreed time, EGMS will re-generate the file and push it to the sFTP server. It is recommended that merchants set up a scheduled querying mechanism so that if the file is not received at the designated time, the system can repeatedly check the sFTP server to see if any new files have been pushed.
